Applies to: Google Workspace and Microsoft 365
In Company Data, the Company Users table lists each person once, with their extra addresses nested under their own row. Each nested row has a badge: alias, group alias, shared or delegated. Delegated rows exist on Google Workspace only.
Most filters check both the person's own row and their nested rows. For example, you can find a signature that's assigned only to an alias.
Filters that check nested addresses
These filters check the person's own row and every nested row:
Select Signature
Licensed Users (under + More)
Without Active Signature
Every "Without …" filter: Without Job Title, Without Work Phone, Without Mobile Phone, Without Department, Without Work Address, Without Home Address and Without Profile Image
How matching rows are shown
When a nested row matches, the person is listed with only the matching rows opened beneath them. This is the same way search works.
Using several filters together: All filters must match the same row. For example, a person isn't listed just because one of their addresses has the signature and another is licensed.
Listed because of an alias: A person listed because of a nested row may show a blank or different signature in their own Active Signature cell. This is expected, because their own row keeps its own values.
Group and org unit filters
Group and org unit belong to the person's own row, so these filters work a little differently:
Select Group and Select Org Unit open the matched people's rows automatically, but they don't narrow the nested rows.
Select Group lists only groups with at least one member in the table, so you won't pick a group that has no one in it. The same applies to a signature's Preview and Users tables in Signature Management.
Select Org Unit (Google Workspace) lists all org units, including ones with no members.
In short, most filters check every address under a person, not just their own row, so you can quickly find the right alias, shared or delegated address, whether you're looking for a signature, a license or missing details.
