What is a delegated email?
When a user adds a colleague's real work address to their Gmail Send mail as list, that address becomes a delegated user in BulkSignature.
Example: John adds [email protected] to his Gmail and Mike confirms. John can now send as Mike. John is the owner of that delegated entry, because the email leaves John's mailbox.
This is different from a personal alias (another address for the same mailbox) and a group address (a Google Group like support@).
How to turn it on
Settings → General Settings → Delegated users.
Turn on Import delegated users. Optionally turn on Auto-assign signatures to delegated users.
Save, then go to Company Data → Import Now.
Both settings are off by default. The import runs in the background — allow a few minutes and refresh.
Keep these five points in mind
1. The signature goes into the sender's mailbox | It installs into John's Gmail, on his Send mail as entry for |
2. Only two signature types work | User-specific (assign by hand, use the delegated-only filter — mixing with regular employees is fine) and Global. Organizational unit and group signatures never apply. |
3. Auto-assign is optional | It only controls automatic pick-up after an import and whether the Global signature covers delegated entries. Manual assigning and installing always work without it. |
4. Turning import off deletes everything | All delegated entries, their Excluded Users records, and their installed Gmail signatures. Auto-assign switches off too. Regular users, aliases and group addresses are untouched. |
5. Each entry uses a license | Delegated entries count toward your used licenses, the same as group address copies. |
What the import will and won't do
Once a user adds a secondary "Send mail as" address in Gmail, it is imported directly into the employee list under Company Data with a Delegated badge.
No duplicates on repeat imports. Remove the address in Gmail and the entry disappears at the next import.
Pending (unconfirmed) Send mail as addresses are never imported.
A user's own alias stays an alias; a group address stays a group address. Only another real user's address becomes delegated.
Works even if the address's own user is in your Excluded Users list, as long as the account still exists in Google.
Deleting
Deleting a delegated entry is permanent across imports. Restore it from the Excluded Users list, same as aliases.
Deleting an owner deletes all of their delegated entries.
Deleting the real user behind the address does not remove other people's delegated copies of it.
If something looks wrong
