What is a User-specific Signature?
User-Specific signatures enable you to create a customized email signature for an individual user. This type of email signature holds the highest priority, so if a user is assigned multiple types of email signatures, the User-Specific signature will take precedence while others will be disregarded.
When to use User-Specific signatures?
Use user-specific signatures when you need to assign a unique signature to individual employees — such as for temporary campaigns, role-specific branding, or personalized promotions that don't apply to the entire team.
If your email signature is successfully installed, don’t forget to enable it for Reply/Forward use, and instruct other users in your organization to do so as well. (NOTE: If you did not have any signatures in your Gmail settings before installing templates, Gmail automatically applies the installed templates for the Reply/Forward use.)
How to Create a User-specific Signature?
Setting a User-specific Signature is not a complicated task that can be performed within several minutes. The most time-consuming part is the email signature design process, which should be considered as a separate task. To set up your email signature for everyone in your organization, follow the steps:
Go to Signature Management
Click Add Signature
3.Here you can select templates, edit your existing HTML email signatures, and much more.
4. When you are done with the email signature design process, click on Assign in the menu above the editor.
5. Set Assign Type → Users
6. Enter the Signature Name
7. Click Add Users and select users (filter by OU/Group if needed)
8. Click Save and Assign to begin the deployment.
9. Wait for the status to change to Active, then reload your Gmail tab.
10. If your email signature is successfully installed, don’t forget to enable it for
Reply/Forward use, and instruct other users in your organization to do so as well.
