What is an Organizational Unit Signature?

An Organizational Unit Signature is a dynamic template designed to match your company's structure in the Google Admin console. These signatures automatically detect new members added to an OU and apply the correct email signature without manual intervention.

When to use organizational unit signatures?

This feature is ideal if different departments (e.g., Sales, Support, or Marketing) require unique signature templates.

Note: BulkSignature has read-only access to your Google Organizational Units. To rearrange users or move them between departments, you must do so within the Google Admin console.


Prerequisites for Automation

To ensure that signatures are automatically applied to new members, you must first enable the following in BulkSignature:

  1. Navigate to Settings > General Settings.

  2. Enable Active Signature.

  3. Enable Automated User Import.

How to create an Org. Unit Signature?

One of the key features of BulkSignature lie in its ability to apply email signatures to selected organizational units. You can easily create flexible templates for your departments without any hassle on Google Admin console. Setting up an Org. Unit Signature is not significantly different from other signature types. Follow the steps below to set up this signature type:

  1. Go to Signature Management

  2. Click Add Signature

  3. Choose a template or edit your HTML

  4. Click Assign

    5.In the Assign section, set the Assign Type to By Organizational Units.

    6. Enter the Signature Name.

    7. Click Add Organizational Unit to select OUs you want to apply the email signature template to.


    8. Click Save and Assign. This will deploy your email signature and begin the installation process.

    9. Once the installation status displays Active, refresh your browser. Navigate to your Gmail Settings to verify that the signature has been successfully installed.

    10.After a successful installation, enable the signature for Reply/Forward use and ensure other users in your organization do the same. Note: If there were no previous signatures in the Gmail settings, Gmail will automatically apply the new template for replies and forwards.
