What is a Group Signature?

Group Signatures allow you to assign unique email signatures to specific Google Groups. These signatures are fully automated; BulkSignature automatically detects when members are added to or removed from a group and updates their signatures accordingly.Group signatures hold the second-highest priority. If a user is assigned all four signature types, the Group Signature will take precedence over everything except an Individual Signature.

Why use Group Signature?

Group signatures offer flexibility for organizations that need targeted branding:

Role-Based Branding: Assign signatures based on job functions, departments, or specific projects.

Advanced Filtering: Unlike Organizational Unit (OU) signatures, Group Signatures allow you to exclude specific members, giving you more granular control over who receives a signature.

How to create a Group Signature?

Creating a Group Signature follows the same standard process as other signature types, with one prerequisite: the feature must be enabled in your settings.

  1. Navigate to Settings > General Settings.

  2. Locate the Group Signature section.

  3. Switch the toggle to ON.

  4. Proceed to create your signature as usual, selecting your desired Google Group as the target.

    Once it is done, follow the steps below to set up this signature type:

  1. Go to Signature Management

  2. Click Add Signature

  3. Choose a template or edit your HTML

  4. Click Assign

  5. Set Assign Type → By Users

  6. Enter a Signature Name

  7. Click Add Users and select users (filter by OU/Group if needed)

    8. Click Save and Assign. This will deploy your email signature and begin the installation process.

    9. Once the installation status displays Active, refresh your browser. Navigate to your Gmail Settings to verify that the signature has been successfully installed.

    10. After a successful installation, enable the signature for Reply/Forward use and ensure other users in your organization do the same.

    Note: If there were no previous signatures in the Gmail settings, Gmail will automatically apply the new template for replies and forward.

    Understanding Included/Excluded Markers

    In some cases, members may belong to several groups at once. Consequently, in order to avoid group clashing, users that belong to multiple groups and have one group-based signature installed will be excluded on the installation stage of another group-based signature. To include them, you need to make sure include label is selected while creating the group signature.
