New Gender Attribute Import from Google Workspace

Overview

BulkSignature now supports importing the Gender user attribute from Google Workspace directory data. Where this attribute is populated against an employee record in the Google admin console, it can be brought into BulkSignature, made available in the attribute library, and inserted into signature templates in the same way as any other directory field.

This release note explains how the feature works, the controls available to administrators, and the data-protection considerations that organizations should review before enabling its use in any customer-facing or internal communication.

What is included in this release

The Google Workspace integration in the BulkSignature admin console can now read and store the Gender attribute alongside the user fields it already supports.

Imported Gender values are made available in the BulkSignature attribute picker, so administrators can place the attribute into a signature template using the same drag-and-drop or menu insertion flow that already exists for other directory fields. To identify the source of the data, refer to the icon next to the field:

  • Lock Icon: Data was manually entered or edited within BulkSignature.

  • Unlock Icon: Data is being synced directly from the Google Workspace directory.

Data Conflicts & Overrides: If you manually edit a field in BulkSignature that is also being synced from Google Workspace, a conflict may occur. In this case, the manual update in BulkSignature will override the Google Workspace sync, and the field will display a Lock Icon to indicate it is now locally managed.

The attribute is also exposed to the Gmail compose surfaces that already read BulkSignature attributes, allowing it to be referenced in compose and reply scenarios where this is supported. Existing users are backfilled on the next scheduled directory sync; newly added users receive the attribute on their first import.

How to use the feature

  1. Enable Data Collection in BulkSignature. Go to Settings → User Data Collection and enable Google Workspace Custom Fields.

  2. Import the data. On the Company Data tab, click Import Now.

  3. Insert the attribute into a signature. In Signature Management, open the signature editor and expand Show Google Workspace Custom Fields under Personal Information (Drag & Drop). Drag the Gender attribute into the template.

  4. Save and deploy using the standard deployment flow.

Disabling or removing the attribute

The Gender attribute can be removed from a signature template at any time by opening the template, deleting the attribute reference, and redeploying. To stop importing the attribute entirely, contact BulkSignature support, who can disable the field at the integration level on request.

Where an individual employee asks for their value to be removed, the most reliable approach is to hide the field in their work email account the next sync will then propagate the cleared value into BulkSignature.

Summary

This release adds an optional capability that some customers have asked for, while leaving full control over its activation and use with the administrator. Organizations should treat the Gender attribute with the same care that applies to any other special category of personal data and should consult their privacy and compliance functions before referencing it in customer-facing communications.
