Work Fax Number and Organization Name now supported in BulkSignature

Overview

BulkSignature now reads, displays, and manages two additional Google Workspace user attributes: Work Fax Number and Organization Name. Both fields are commonly synced into Google Workspace from on-premises directories such as Windows Active Directory, but until now they were hidden in the Google Admin Console UI and inaccessible from BulkSignature. With this release, the values flow through end-to-end—from your source directory, into Google, and into your email signatures.

What changed

Field visibility. Work Fax Number and Organization Name now appear on every user profile in BulkSignature, alongside existing attributes like job title, department, and phone number. If a value exists for a user in Google Workspace, it will be displayed automatically.

Signature template support. Both fields are now available as dynamic placeholders in the signature template editor. Insert them anywhere in a template and BulkSignature will render the correct, per-user value at signature generation time. This includes use inside conditional logic—for example, hiding a fax line when a user has no fax number assigned.

Bulk operations. Like other supported attributes, Work Fax Number and Organization Name can be updated in bulk via CSV import, included in user exports, and filtered on in user lists.

Why it matters

Many enterprise customers, particularly in healthcare, legal, financial services, and government, treat fax numbers and organization affiliations as required signature elements for compliance, branding, or operational reasons. When that data lives in Active Directory and syncs into Google Workspace, but the receiving fields are hidden in Google's admin tools, the result is data that exists but cannot be used—forcing administrators to maintain parallel records in BulkSignature or accept incomplete signatures.

This update closes that gap. Administrators get a single source of truth for these attributes and can produce signatures that accurately reflect each user's fax number and organization without manual workarounds, custom scripts, or duplicate data entry.

Availability

Available now to all customers on the Google Workspace integration, on every plan. No configuration is required. Existing Work Fax Number and Organization Name values stored in Google Workspace will appear in BulkSignature automatically the next time user data is refreshed; you can also trigger an immediate refresh from Settings → Users → Sync now.

How to use it

  1. Open any user profile in BulkSignature. The new fields appear in the user details panel.

  2. To use the values in a signature, open your template in the editor and insert the placeholders {{Work Fax}} and {{Organization}} (or select them from the placeholder picker).

  3. To update a value, edit it inline on the user profile or include the corresponding column in a CSV import.
