How to Enter User Data?

The BulkSignature app streamlines the creation and management of organizational email signatures by automating the data import process. To give you maximum flexibility, we offer three primary methods for importing and managing your user data:

  1. Automatic Data Import from Microsoft 365 (User Data from Microsoft 365 Admin Center).

  2. Bulk Data Entry on BulkSignature(Uploading a CSV file with your user data)

  3. Combined Data Entry(User data is extracted from the Microsoft 365 Admin Center, and supplementary information is added from within BulkSignature)

All of them will be covered in detail in this article.

How does user data import from Microsoft 365 Admin Center work?

It imports user information from the Microsoft 365 Admin Center allowing it to be used in signatures.

With the information gathered from your Microsoft 365 you can choose the specific details you want to include in the signatures.

BulkSignature allows you to automatically incorporate personalized parameters like {JobTitle}, {Department}, and more.

This feature eliminates the need for manual data entry.

How to Perform Data Entry in the Microsoft 365 Admin Center

Storing all the necessary information in the Microsoft 365 Admin Center allows the BulkSignature app to automatically synchronize updates within 24 hours.

This approach offers several advantages, such as scalability and centralized data storage, which can simplify training for new staff who are already familiar with the Microsoft 365 environment.

To import or update user data in the Microsoft 365 users, follow these steps:

  1. Go to your Microsoft 365 Admin Center by logging in at https://admin.cloud.microsoft/

  2. In the menu on the left, go to Users -> Active users.

  3. In the top menu of the opened page, look for the option to Multi-factor authentication or select Import multiple users.



    4. On the Import multiple users page, select Upload a CSV file with headers. Complete the template with the required user data, ensuring the User Principal Name (UPN) is included for each entry.


    5. Save the file and upload it back to the system by clicking the Browse button.

Once the bulk update is finished, BulkSignature will automatically sync the new data within 24 hours. If you need the changes to appear immediately, you can manually trigger a sync from the dashboard.

Entering data directly into BulkSignature

BulkSignature allows you to enter the data from within the application.

BulkSignature initially imports all user fields from Microsoft 365. However, you can choose to manage specific staff-related fields directly within the app later. To do this:

  1. Go to Company Data

  2. Click the user you want to edit.

  3. Enter the required information. (NOTE: Use Custom Fields to add information without a matching section)

4. Scroll down and click Save when done.

NOTE: To see where the data is coming from you can hover over ❔, which is located next to each section.

You should also know that if you edit one field in BulkSignature, there might be a conflict with the data coming from Microsoft 365.

In that case, the BulkSignature update will override the Microsoft 365 sync
