Resolving Outlook Signature Image Display Issues

Are your signature images missing in Outlook? Whether you are seeing a blank space, a red X, a broken-image icon, or a "Click here to download pictures" warning, this guide will help you fix the problem.

1. Verify File Size Requirements

Often, images fail to load or display reliably because the file size is too large. When preparing your signature image, keep the following requirements in mind:

  • The absolute maximum file size you can upload is 5 MB.

  • For email signatures, we highly recommend keeping images under 1 MB. This ensures they load quickly and display reliably across all email clients.

  • If your image is larger than 5 MB, use the built-in cropping tool when uploading. This can significantly reduce the file size so your image fits within the acceptable limits.

2. How to Correctly Upload a User Profile Image

To ensure your image is properly synced and formatted, verify that it was uploaded correctly through the BulkSignature app. You can add or re-upload a profile photo for each user by following these steps:

  1. Open the BulkSignature app.

  2. Navigate to Company Data.

  3. Select the user to whom you want to add a photo.

  4. Click Upload picture.

  5. Drag and drop your image into the designated area, or select the file directly from your computer.

  6. Click Save.

3. Unblock Picture Downloads in Classic Outlook

By default, classic Outlook blocks automatic picture downloads from the internet to protect your computer. To fix this and ensure your signature images display automatically, you will need to adjust your Outlook Trust Center settings to unblock picture downloads.
